Booking and Cancellation Policy

This governs bookings made with us by registered travel agents. Your own client-facing terms are yours to write and may be stricter, but they cannot be looser than this.

This page summarises the terms printed on our FIT quotations and fixed-departure sheets. The terms on your written quotation are the ones that apply to your booking.

Confirming a Booking

A booking is confirmed on receipt of a 30 percent deposit. Nothing is held before that.

  • Send the deposit slip together with guest arrival and departure details.
  • Where we are issuing tickets, send identity documents at the same time.
  • Tickets are issued once payment is received, not on instruction.
  • Hotel confirmation vouchers are released on receipt of full payment.
  • Driver details are shared by 7pm on the day before arrival. In peak season the assigned driver may change the following morning.

Payment Schedule

StageDue
To confirm and generate confirmation30 percent of tour cost
Advance at booking confirmation50 percent
Balance15 days before check-in
Bookings made inside 15 daysFull payment immediately

We operate no credit facility. Payment is by bank transfer, cheque or deposit. Do not deposit cash without prior approval.

Share your GSTIN before the invoice is raised. An invoice cannot be amended once generated.

Release Dates

Hotel bookings release at 15 days before arrival. Where payment has not been received by then, the booking is released without further notice. This is not a penalty — the rooms physically return to the hotel's inventory and we cannot hold them.

The same 15-day boundary closes a fixed departure for sale on this website, so one date governs the listing, the room block and the balance payment.

Cancellation by the Agent

Cancellation must be in writing. A planning fee of ₹2,000 per person applies to any cancellation, in addition to the scale below.

Days Before the TourCharge
32 days or more10 percent of tour cost
31 to 26 days25 percent
25 to 16 days50 percent
15 to 8 days75 percent
7 to 0 days100 percent

The scale applies to the full tour price regardless of any separate flight or train cancellation, and regardless of what has been paid to date.

Refunds

Refunds are paid to the source through which the tour was booked, in Indian Rupees, within approximately seven working days of the cancellation being accepted.

No refund is due for services not used. This includes meals, entrance fees, optional activities, hotel nights, sightseeing and transport that the client chose not to take.

Cancellation by Us

To be published. Until then, ask the trade desk before you confirm a fixed departure what happens if it does not run.

Tax

  • GST at 5 percent is charged on total billing and is not included in quoted net rates unless a document states otherwise.
  • Ready-package catalogue rates are quoted nett and inclusive of GST at 5 percent. Read the document you are quoting from — the two bases differ.
  • On Bhutan products, TCS is charged extra on the total bill.
  • On Nepal products, TCS at 2 percent is payable separately at the time of invoicing.
  • Any increase in government tax or fuel price before departure is passed on.

Free of Cost Policy

FOC is 15 + 1. Where the booking is below 15 rooms the FOC does not apply.

Costs Outside the Package

Certain costs are paid directly by the client on the ground and are excluded from every quotation. The most common are local taxi union charges where an outside vehicle cannot operate, cable car and ropeway tickets, pony and palanquin hire, camera fees, guide charges, and monument, park and garden entry.

These are listed per sector on the relevant product page. Pass them to your client before departure rather than at the point of sale.
